3.9 PRINT ASSET CHANGE HISTORY REPORT
3.9.1 Application Overview
Every time a change is made to an asset using a Fixed Assets and Depreciation application, a record isautomatically written to the Asset Change History File. Two dates are also included in this record: (1)the date the change was made and (2) the period ending date for the corporate reporting entity’s currentperiod at the time the change was made.
Because these two dates are part of the Asset record, they may be used to establish reportingparameters for the Asset Change History Report.
The Print Asset Change History Report lists all changes (dispositions, separations, or other changes)made to a range of assets over a selected time period; thus it is valuable when tracking the history of anasset. This application also makes it possible for those same records to be purged, when it isdetermined that the asset change data need no longer be accessible on-line.
The data included in the report can be used to report to executives, Government agencies, and othersthe history of changes made to assets.
Recommended Usage
1. Determine the date range for which the report should be generated.
2. Generate the report using the Print Asset Change History Report application.
3. Review the report to ensure that required data are listed.
4. Run the program again to purge (delete) records which are no longer required on-line.
5. Retain the hardcopy listing for future reference.

3.9.2 Run Instructions
When the Fixed Assets and Depreciation Main Menu is displayed, press PF9 to select the“PRINT ASSET CHANGE HISTORY REPORT” application.
Enter required data, and press RETURN.
If a report is to be produced, the standard print menu will be displayed. Select print options,and select the appropriate PF key. When the listing has been generated, press PF16 to exit thefunction.
When the Print Asset Change History Report input screen is displayed, press PF16. The A/DMain Menu will be displayed.

1 alphanumeric character (required). Valid entries are: Yes, delete all data on file that meet the selection criteriaspecified.
Maximum of 10 formatted alphanumeric characters identifying thefirst asset number in the range to be included. The asset number mustbe entered in the format specified in the A/D Control File.
Each of the two levels of the asset number (main asset number andsub-number) may consist of up to 9 alphanumeric characters asfollows: A hyphen will automatically be displayed to separate the two fields.
The sub-number may be all zeros, but the main number may not.
Entry required.
In entering the asset number, the main number and the sub-numbermay be entered with or without leading zeros, separated by a decimalpoint or hyphen.
If no asset number is entered, the default will be “ALL” (all assetnumbers).

3.9.4 Input Considerations
Asset Change History Report. If you select a specific “Starting Date” and “Ending Date,” only
changes that were made in that range of dates will be included in the report. If you select a range of
corporate reporting entity period ending dates (called “Starting Period End Date” and “Ending Period
End Date” on the screen), changes made within that range of accounting periods will be included in the
report.
For example, if you wish to include only those changes made when the corporate reporting entity’scurrent period was either June or July of 1993, you would enter “6/30/1993” for “Starting Period EndDate” and “7/31/1993” for “Ending Period End Date.” This range would result in the correct recordsbeing included, so you could enter “ALL” in the STARTING DATE field. If the report prints a“before change” type record without an “after change” type record, and is immediately followed byreporting entity data, this indicates that the base asset data was not changed, but reporting entity datawas changed.
If a changed record shows all exclamation marks (!) in a field, this indicates that the field was changedto all blanks.
